This policy explains what personal information Propklar collects, how we use it, and the choices available to account holders, invited team members, tenants, and other people whose information is stored in Propklar.

Who We Are

Propklar provides software for property owners, managers, and tenants to track rent, maintenance, documents, property assets, communications, approvals, and related property operations.

For account, billing, product usage, website, and support data, Propklar acts as the data controller. For tenant, contact, property, lease, payment, maintenance, document, and similar records that a workspace owner or authorized user adds to the service, Propklar generally acts as a processor or service provider on behalf of that customer.

Information We Collect

Account and authentication information

  • Name, email address, password authentication data, Google sign-in identifiers, email verification status, organization membership, role, permissions, session identifiers, and security events.
  • Tenant portal sign-in information, including email address and one-time verification codes used to confirm access.

Property operations information

  • Property, unit, asset, tenancy, lease, rent schedule, payment, expense, maintenance, service provider, contact, approval, message, activity log, notification, and document metadata.
  • Files uploaded to Propklar, such as leases, receipts, invoices, photos, manuals, warranties, permits, inspection reports, and related documents.
  • Tenant and contact information entered by a workspace owner or authorized user, such as names, emails, phone numbers, address details, emergency contact details, notes, and communication history.

Usage, device, and support information

  • Pages visited, features used, clicks, browser and device information, approximate location derived from IP address, log data, diagnostic data, and session replay or product analytics events where enabled.
  • Messages you send us, demo requests, support requests, feedback, and email communication metadata.
  • Language preference and other cookie-based settings needed to provide the product experience.

How We Use Information

  • Provide, secure, operate, maintain, and improve Propklar.
  • Create and manage accounts, organizations, sessions, roles, permissions, invitations, tenant portal access, and email verification.
  • Store, display, organize, and process the property records, documents, activity logs, workflows, and communications that users choose to add.
  • Send service emails, verification codes, invitations, approval updates, reminders, product notices, support messages, and other operational communications.
  • Monitor reliability, debug errors, prevent abuse, detect unauthorized access, and protect the service.
  • Understand feature usage, improve onboarding, prioritize product work, and measure product performance.
  • Comply with legal obligations, enforce our terms, and respond to lawful requests.

How We Share Information

We do not sell personal information. We share information only as needed to provide Propklar, at a customer or user direction, or when legally required.

  • Workspace sharing: Information may be visible to owners, admins, invited managers, team members, tenants, or other users according to the roles, permissions, and portal access configured in the workspace.
  • Service providers: We use providers for hosting, database infrastructure, file storage, authentication, email delivery, analytics, session replay, payments where enabled, support, monitoring, and security.
  • Specific providers reflected in the current product include PostgreSQL database hosting, Cloudflare Workers and Cloudflare R2, better-auth, Google sign-in, Resend email delivery, and Statsig analytics and session replay.
  • Legal and safety: We may disclose information to comply with law, respond to lawful requests, protect rights and safety, investigate abuse, or enforce our terms.
  • Business changes: If Propklar is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction subject to appropriate safeguards.

Cookies and Analytics

Propklar uses cookies and similar technologies for authentication, session security, language preference, product functionality, analytics, and reliability. Some cookies are necessary for the service to work.

We may use analytics and session replay tools to understand how the product is used and where users run into issues. These tools help us improve Propklar, troubleshoot defects, and prioritize product work.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information, including encrypted transport, access controls, authenticated sessions, limited role-based permissions, signed file download links, and provider-level security controls.

No internet service is perfectly secure. You are responsible for keeping your login credentials safe, limiting workspace access to trusted users, and promptly telling us about suspected unauthorized access.

Retention

We keep personal information for as long as needed to provide Propklar, maintain accurate operating records, comply with legal obligations, resolve disputes, prevent abuse, and enforce agreements.

Workspace owners can export or delete certain records in the product where those features are available. Some information may remain in backups, logs, audit trails, or legally required records for a limited period after deletion.

International Transfers

Propklar may process information in countries where we or our service providers operate. When required, we use appropriate safeguards for cross-border transfers, such as contractual protections and provider security commitments.

Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also have the right to withdraw consent where processing is based on consent.

Account holders can update some account and workspace information in the product. For other requests, contact hello@propklar.com. If your information was added by a property owner or manager, we may direct your request to that customer because they control the workspace record.

Children

Propklar is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child provided personal information to Propklar, contact us so we can review and delete it where appropriate.

Changes to This Policy

We may update this policy as Propklar changes. If an update is material, we will take reasonable steps to notify users, such as posting the new policy in the product or sending an email notice.
